Purchasing/Estimating Associate

Reports to:          C.E.O / V.P

Objective:           Establish accurate pricing and control costs to meet company margin goals without sacrificing quality and schedules.

Responsibilities

  1. Open to learn and maintain Purchasing software system – Mark Systems by ECI Solutions.
  2. Review plans and identify scopes of work for each trade to ensure projects are complete.
  3. Complete thorough review of contractor proposals.
  4. Prepare timely budgets.
  5. Control expenditures and monitor compliance with budget.
  6. Monitor and control all trade contractor Agreements.
  7. Continue monitoring material availability and make sure no ordering delays.
  8. Maintain positive relationships with trade vendors and suppliers.
  9. Seek new opportunities to control costs and find rebate programs.
  10. Update trades and suppliers of current issues.
  11. Assist in recruiting & maintaining sub-contractor staff adequate to keep up with production and remain on budget.
  12. Review each project proforma for accuracy prior to creating work orders and purchase orders.
  13. Review all work orders and purchase orders for accuracy before issuing.
  14. Releases all work orders and purchase orders related to job costs via our automated system.
  15. Meet weekly with PM’s and Superintendents to review contractors, VPOS, and other field issues to move the company forward.
  16. Review for accuracy, changes in scope of work and the costs associated with the change.
  17. Provide weekly updates to VP.

Requirements

  1. The minimum work week to consist of Monday-Friday. 
    1. Normal hours 7:30 AM – 4:30 PM
    1. Additional hours may be required at times to meet deadlines.
  2. Be tentative via phone on vacation in case of an emergency.
  3. Attending weekly meetings as needed.  If a meeting cannot be made a 24-hour notice will be needed.
  4. Have keen computer skills in Word and Excel – Using multiple sheets and importing and exporting via our system.  Be able to organize and create detailed sheets.
  5. Motivation and eagerness to implement and maintain processes for a growing business.
  6. Able to work in a stressful environment with critical deadlines.
  7. Keen and decisive verbal skills.
  8. Highly organized and tentative to details.
  9. 3+ years of purchasing experience with a prior homebuilder.
  10. Experience in residential construction.
  11. Having some knowledge of commercial construction.
  12. Negotiation skills.
