Administrative Assistant

Reports to: C.E.O / VP of Construction

Objective: Perform administrative and clerical duties day to day

Responsibilities

  1. Receive all incoming phone calls.  Provide callers with information and/or route calls to appropriate personnel.
  2. Conduct tours of the office to new hires.
  3. Receive general emails – Reply with information or reroute emails to the appropriate person.
  4. Type correspondences, envelopes, and memos.
  5. Enter data as directed by superiors – Mainly into Mark Systems
  6. Maintain a professional appearance of office and reception area.  Greet customers and other visitors. 
  7. Prepare conference room prior to meetings
  8. Manage schedules of CEO and warranty.
  9. Help maintain filing systems.
  10. Review mail as it comes in to distribute to appropriate employees
  11. Help assemble backup material for audits.
  12. Assist warranty coordinator in scheduling a communication with clients
  13. Follow-up with trades to ensure warranty requests have been completed
  14. Administer customer satisfaction surveys.  Track results.
  15. Obtain signatures for accounts payable and disburse checks
  16. Ensure that homeowners get copies of warranty manual during the orientation
  17. Ensure that homeowners have copies required documents
  18. Answer questions and help guide homeowners/homebuyers through various stages of the home
  19. Consult with CEO and Warranty Coordinator to update warranty book

Requirements

  1. Minimum work week to consist of Monday-Friday.
    1. Normal hours 8 AM – 4:00 PM
  2. Be tentative via phone on vacation in case of an emergency.
  3. Attend weekly meetings as needed.  If a meeting cannot be made a 24 hour notice will be needed.
  4. Have keen computer skills in Excel, Word, PDF
  5. Motivation and eagerness to implement and maintain processes for a growing business
